RPA Case Study: Scheduled ERP IFS Data Extraction, Reports Ready Before the Team Arrives
RPA pulls three ERP reports (GA, SA, CI), each needing about an hour of processing, on an early-morning schedule, so formatted files are ready when the team arrives.
Problem
The finance team needs three kinds of data from the IFS ERP, called GA, SA, and CI, for thousands of customers as daily working material. Each dataset is requested through the system and takes about an hour to process before it can be downloaded. - Waiting time: one dataset can take about an hour; three datasets mean real work only starts long after staff arrive. - Standby staff: someone has to watch the screen to press the next step as soon as the data is ready. - Manual formatting: raw data still has to be tidied before use. - Dependence on individuals: when that person is absent, the report is late.
Solution
The client wanted the data pulled automatically one hour after the request is run, in the morning, so the finished files are already waiting. The Oneflux bot: 1. Runs on a schedule outside working hours. 2. Submits the requests for all three datasets (GA, SA, CI) in the ERP. 3. Monitors the status and downloads as soon as the data is ready, waiting for the completion condition rather than using a fixed delay. 4. Formats the files to the client’s template and saves them in the agreed folder. 5. Sends a result notification and an alert if anything fails.
